Polrunny Farm Holiday Cottages: Terms and Conditions
This document sets out our Terms and Conditions that you will be required to agree to should you choose to book direct with us.
This is a legally binding contract between the owners of Polrunny Farm and the holidaymaker. The property owner is also referred to as "we" and "us".
The holidaymaker is the person who signs the booking form or, in the case of online booking, the person who makes the online payment. This person is responsible for ensuring all members of the holiday party accept and adhere to these terms and conditions. The holidaymaker is also referred to as "you".
The property referred to being holiday cottages at Polrunny Farm, Boscastle, PL35 0EL.
By making a booking you are entering into an agreement with us so please read these terms and conditions of booking. Your payment will indicate your acceptance of these. A material breach of these conditions may result in you being refused entry to the property or being asked to leave early and having your booking terminated. In such case your booking will be deemed to be cancelled and no refunds of any monies paid will be made.
Your booking
The booking is for a short-term holiday rental only, of no more than 30 days duration, and the property must not be used for any other purpose unless specifically agreed in advance in writing. Sub-letting or assignation of the let is prohibited. The lead guest must be a minimum of 18 years of age at the time of booking. You must provide the names and addresses of all members of your party and the ages of any children. Your booking is provisional until your deposit has been received.
Please note we are unable to take bookings for stag parties, hen parties or student groups unless by prior arrangement.
Payment
All accommodation fees are in pounds sterling (GBP) and must be paid for in pounds sterling. Payment can be made via our online payment system or by bank transfer. Any and all bank charges pertaining to bank transfers and currency exchanges are to be met by the guest. A deposit of 30% is required on booking with the remaining balance to be paid no fewer than 42 days before the start of your holiday.
If your payment has not been received 42 days before your arrival date, we will assume that you wish to cancel. If your booking is made within 42 days of your arrival date, payment will be due in full. No entry to properties will be allowed without payment in full being cleared beforehand.
Our properties
All our cottages include central heating, hot water and electricity in the price of your stay. Bed linen, towels, bath mats, tea-towels and an oven glove are all provided. Cot linen cannot be provided for health and safety reasons, so please bring your own if using our travel cot/s. If staying for longer than seven days a weekly change of linen and towels will be offered free of charge. A complimentary welcome basket is provided - please advise us of any special dietary requirements on booking and we will do our best to provide suitable substitutions, subject to availability.
Period of hire
You may check-in from 5pm on the day of your arrival. Earlier check-in may be available during quieter periods and should be arranged in advance of your arrival day. If you arrive early without prior arrangement it is unlikely that we will be able to let you into your cottage before the standard check-in time.
A few days prior to your arrival, we will email you an information pack with directions, requirements for checking-in and further information on the cottage and local area to help you plan your stay.
On departure your cottage must be vacated by 10am at the latest. We have a limited time to prepare our cottages for our guests to the high standard expected and we ask that you help us achieve this by vacating on time. Delays may be charged at £30 per hour/part hour and we reserve the right to enter the property after the first hour’s delay.
Please leave your cottage as you found it, in a clean and tidy condition, with furniture and fittings returned to their original positions. Recycling and rubbish must be deposited in the appropriate bins outside. We reserve the right to charge an additional cleaning fee of £30 per hour/part-hour if the property is left in an unacceptably unclean or untidy condition.
Occupancy
The number of guests must not exceed the maximum occupancy listed for the cottage. Infants under 24 months sleeping in cots do not count towards occupancy. If it is found that more people than agreed are using the property, this will be considered a breach of contract and the holidaymaker and his/her party will be asked to leave immediately without any refund. Sub-letting or assignation of the let is prohibited.
No parties, events or gatherings may take place at the property without prior written consent from the owners.
No-smoking/fireworks
Smoking and vaping are not allowed inside any of the properties, or in the horseshoe courtyard. Fireworks and Chinese Lanterns or similar may not be used.
Children
Children are always very welcome at Polrunny Farm and we have a variety of indoor and outdoor games for their use. We can also provide high chairs and travel cots free of charge if booked in advance, subject to availability. Please bring your own cot linen.
All equipment is used entirely at user’s risk. Children must be supervised at all times whilst on the premises and particular care should be taken around equipment, animals and water.
Dogs
At four of our properties – blueberry, seaberry, blackberry and elderberry – we allow two dogs per booking. We charge a flat rate £25 fee per dog per booking and will provide bowls, blankets and poo bags for their use.
We obviously also welcome assistance dogs at any of our cottages free of charge.
Any pets must be fully house-trained and the number and type of pet must not exceed what was agreed at the time of booking, otherwise a breach of contract will be deemed to have taken place.
Pets must not be left unaccompanied in the property at any time. With prior notice we may be able to arrange a pet-sitting service, for a fee. The holidaymaker shall be liable for all damage caused by his/her pet or any pet belonging to the holidaymaker's party. A charge will be made for any additional cleaning required beyond reasonable wear and tear.
A dedicated area (dog field), away from other communal areas, is provided for dogs’ toilet needs. Owners are expected to clear up after their dog.
Owners commit to keeping their dogs on a lead whilst in the Farm’s grounds, except when the dog is in the field.
The property owner cannot be held responsible for any accident or injury to a pet during their stay.
Amendments
Should you wish to amend your holiday before its commencement we will do our best to accommodate your changing requirements, but we cannot guarantee that this will be possible.
Cancellations
In the unfortunate event that you have to cancel your holiday, please advise us immediately and confirm in writing or by email. We will confirm receipt of your cancellation request by email.
In certain circumstances guests sometimes have to cancel their stay. We strongly urge our guests to take out holiday insurance to protect against any potential losses. We as owners will apply the below cancellation policy to all cancellations:
For cancellations more than 42 days before check-in you will receive a full refund of any monies paid, minus any bank charges incurred by us in processing payments.
If you cancel your booking within 42 days of your arrival date but greater than 7 days before your arrival date, we will endeavour to re-let the property you had booked. If we are successful in reletting the property, we will refund the full cost of your booking minus any bank charges. If we are not successful, we will be unable to provide you with a refund.
If you cancel less than one week before your booking, we will provide no refund to you. We urge guests to take out holiday insurance when booking a holiday at Polrunny Farm.
If you have not arrived at your property by 12pm the day after your holiday start date, and you have not advised us that you will be late, we will deem the holiday to have been cancelled and no refund of any monies paid will be made.
If you are holidaying with us and have to leave your holiday cottage earlier than your expected check-out date, no refunds will be made.
Force majeure
If we, the owners, have to cancel your booking due to forces beyond our control, we will refund all monies paid. If we have to end your holiday early due to forces beyond our control, we will refund the appropriate proportion of the booking fee. In these circumstances our liability will not extend beyond this and there will be no compensation or expenses paid.
Guest responsibilities
Guests are responsible for the property during their holiday and are asked to take reasonable care of both the property and its contents. Any breakages and/or damage should be reported to the owners immediately. Whilst we won’t charge for the odd broken plate or glass, we reserve the right to charge for any damages. Guests must report any problems with appliances, fixtures or fittings immediately so that they may be repaired as soon as possible, to minimise inconvenience both to you and to subsequent guests.
Guests must not carry out any activities or behaviour that may cause a nuisance to the owners or occupiers of neighbouring properties. We, the owners, are entitled to ask the holidaymaker to leave the property without any refund if, in our opinion, the behaviour of the holidaymaker and/or his/her party is unacceptable or unreasonable.
We have zero tolerance for racism or any form of discrimination. By booking a cottage at Polrunny Farm, you are consenting to our right to require that anyone that exhibits behaviour that, in our sole view, is racist or otherwise discriminatory, leaves the property immediately and forfeits their right to complete the remainder of their holiday with us. Where guests are required to leave in these circumstances, no refund of holiday costs will be given.
We, the owners, also reserve the right to refuse entry to anyone who, in our opinion, is not suitable or capable of taking charge of the property.
Every endeavour is made to ensure your stay with us is memorable for all the right reasons. However, we do recognise that from to time things do go wrong. In these circumstances, it is the responsibility of the holidaymaker to make any such problem known to the property owner (or our representative) immediately it becomes apparent, thereby giving us as property owner the opportunity to correct the situation. Unless this procedure is followed, no subsequent claim will be entertained.
The property owner will make every endeavour to rectify any identified problems as soon as is reasonably possible.
Our liability
The use of the property and amenities at Polrunny Farm, and guests’ own property, are entirely at the users’ risk and the owners can accept no responsibility for injury, death, loss or damage unless arising from negligence on our part.
We make every effort to list our property in an accurate manner. However due to a programme of continuing refurbishment, some fixtures and fittings may differ to those in the photographs. We very much hope you enjoy your holiday with us but in the hopefully unlikely event of a problem or complaint we ask that you notify us during your stay so that we may resolve the problem.
Access
We reserve the right to enter the property at any reasonable time to carry out repairs and necessary maintenance. We will endeavour to agree a convenient time in advance but at times it may be necessary to enter the property without prior arrangement.
Wi-fi
We have made every effort to supply the main living areas of our cottages with a complimentary high-speed internet connection. However we are in a rural location which affects our connection and the thickness of the stone walls may render some areas dead-zones. We cannot accept any liability for inconvenience or loss due to poor internet reception.
Charging electric cars
Pay-as-you-use EV chargers have been provided for our guests’ use. Full instructions on how to access the chargers will be provided upon your arrival. Onsite charging of your vehicle through any means other than via the professionally installed EV chargers is strictly prohibited and will result in you being asked to vacate the property.
